Privacy Policy
Effective date: 22 August 2026
Last updated: 22 August 2026
theBeekeeper (“theBeekeeper,” “we,” “us,” or “our”) provides a mobile app for beekeepers to manage apiaries, hives, and hive inspections. This Privacy Policy explains what information we collect through the app, why we collect it, and how we handle it.
By creating an account or using theBeekeeper, you agree to the collection and use of information as described here. If you don’t agree, please don’t use the app.
1.Information We Collect
1.1 Account information
When you register, we collect your name, email address, phone number, and a password (stored encrypted — we never store it in plain text). If you sign in with Google, we receive your
name and email from Google instead of a password. We verify your email using a one-time code sent to your inbox. You may optionally add a profile photo.
1.2 Apiary, hive, and inspection data
This is the core content you create in the app:
– Apiaries — name, location (as you type it, e.g. “Near Alrewas” — we do not collect GPS coordinates), notes, and an optional photo.
– Hives — name/code, status, colony strength, and queen details (queen year, queen marking colour).
– Inspections — the date and time of the inspection, weather conditions you select, written observation notes (including notes created by voice dictation), up to five photos, and an optional recorded voice note.
1.3 Voice and microphone data
the Beekeeper offers two voice-related features, and we only access your microphone when you actively use one of them:
– Voice dictation — when you tap the microphone in the notes field, your device’s own speech-recognition service converts your speech to text live, which is then saved as regular textin your inspection notes. This uses your device’s built-in speech recognition; audio is not retained as a separate file for this feature.
– Recorded voice notes — if you record a voice note, the audio file itself is uploaded and stored so you (and, per your account permissions, anyone you’ve shared it with) can play it back later.
1.4 Payment and subscription information
the Beekeeper’s notebook offers paid subscription plans, billed and processed by Stripe, our payment processor. We do not collect or store your full card number, expiry date, or CVC — Stripe
handles that directly. We do store your subscription status, plan, and billing history (e.g.,renewal dates) so we can show you your current plan and manage access to paid features.
1.5 Device and technical information
To keep the app running and secure, we automatically collect basic technical information such as your app version, device type/OS, and general usage/error logs when something goes
wrong. We use this only for troubleshooting and service reliability — not for advertising or tracking you across other apps.
1.6 Permissions the app requests
– Photo library / camera — to let you attach photos to apiaries and inspections, and to set a profile photo.
– Microphone — for voice dictation and recorded voice notes (see 1.3).
– Speech recognition — to power the voice dictation feature.
You can decline or later revoke any of these permissions in your device settings; the app will simply be unable to offer the related feature.
2.How We Use Your Information
We use the information above to:
– Create and secure your account, and verify it’s really you (login, OTP, password reset).
– Let you record, view, edit, and organize your apiaries, hives, and inspections.
– Process your subscription payments and keep your access to paid features up to date.
– Send you account-related notifications (e.g., “your subscription is renewing,” “your OTP code”).
– Diagnose bugs and keep the service reliable and secure.
– Respond to you when you contact support.
We do not sell your personal information, and we do not use your inspection notes, photos, or voice recordings for advertising.
3. How We Share Information
We share information only with the service providers that help us run the Beekeeper’s notebook and only to the extent needed for them to do their job:
– Stripe — to process subscription payments.
– [Cloud hosting / storage provider] — to store your account data, images, and voice recordings.
We may also disclose information if required by law, to protect the rights and safety of the Beekeeper or our users, or as part of a merger, acquisition, or sale of assets (in which case
we’ll notify you before your information becomes subject to a different privacy policy).
We do not sell your personal information to third parties.
4.Data Retention
We keep your account and hive-management data for as long as your account is active, so your
beekeeping records stay available to you season over season. If you delete your account, we
delete or anonymize your personal information within 30 days, except where we’re required to
retain certain records (e.g., billing records) for legal or tax purposes.
5.Your Rights and Choices
Depending on where you live, you may have the right to:
– Access a copy of the personal information we hold about you.
– Correct inaccurate information (most of this you can edit directly in the app — profile, apiaries, hives, inspections).
– Request deletion of your account and associated data.
– Withdraw consent for optional features (e.g., simply don’t grant microphone/photo permissions).
To exercise any of these rights, contact us at beekeepersnotebook@gmail.com.
6.Data Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS) between the app and our servers, encrypted password storage, and token-based authentication. No method of transmission or storage is 100% secure, but we work to protect your information using commercially reasonable safeguard
7. Children’s Privacy
theBeekeeper is not directed at children, and we do not knowingly collect personal information from anyone under [13/16]. If you believe a child has provided us with personal information, contact us at beekeepersnotebook@gmail.com and we will delete it.
8. International Data Transfers
[If your servers/subprocessors are in a different country than some of your users, describe that transfer here, and the safeguard you rely on — e.g. Standard Contractual Clauses.]
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we’ll notify you in the app or by email before the changes take effect. The “Last updated” date at the top of this page always reflects the current version.
